Conducting a Successful Team Meeting

I sat transfixed as the team went through, what for them, was a weekly routine.

Twenty-two people in one room, in one meeting. Too many people you think? Not the way this meeting was run.

The highlights:

1. The President sat back and let his 2IC lead the meeting.  He listened, observed, asked a few questions and occasionally gave direction.

2. The 2IC methodically covered off each segment of the business speaking directly to the 6 Department Heads.

3. The remaining people in the room were either, technical specialists or support staff. They only participated when a topic required their specific input.

4. The theme of the discussion with each department head was simple:

. How are you tracking on Objectives. (Numbers & Facts Only)?
. What are your Road Blocks?
. What are you doing this week?
. Do you need support from anyone in the room?

5. Any data or information needed to make decisions on the spot was there in the room immediately available.

6. Any topics that needed an in depth or an expanded discussion were taken offline with a designated date, time and people to attend.

7. The meeting was over in 30 minutes

It was a machine. Crystal clear, specific and incisive. They do it every week and it is flawless.

Oh, by the way, this is by far the best performing company in the Group
